Procession:

As well as schools and pre-schools the procession is open to community groups, musicians and other local businesses and organisations.

Procession conditions are:

  • All vehicles MUST join the procession from Master Park and must arrive no later than 12.30pm.
  • Walking processions can choose to start at Master Park or the Library depending how comfortably your group can walk.
  • Each group must provide a minimum of 4 volunteers to flank their group to ensure the safety of the participants
    (High-vis vests/jackets will be provided).
  • 6 volunteers may be required for larger groups.
  • We often have schools/groups submit the same display - if this happens, the Oxted Carnival Committee will contact
    the last group to submit their application and ask that you select a different display, so please have a second idea in mind.

Stalls:

Approximately 2,500 people attend the Oxted Carnival making it a great opportunity for local
businesses and organisations to promote their interests. Stall holder conditions are:

We require a non refundable booking fee of £5 to secure the pitch.

  • On submission of your application, you will receive an email detailing how to make this payment.
  • Stallholders are required to contribute 15% of their takings on the day,
    with a minimum contribution of £10.
  • The contribution is used to cover the running costs of the Carnival
    and any remaining proceeds are donated to the Oxted Carnival charity/worthy cause.
  • This contribution also applies to charities who may be fund raising for their own causes.
  • Stallholders must have adequate public/product liability insurance and a copy of your certificate
    must be submitted with the application form.
  • If you are unable to submit it with your application, it must be emailed to stalls@oxtedcarnival.com.
  • If there are multiple stallholders selling the same items, the Oxted Carnival Committee will contact
  • the last stallholder/s who submitted their application and advise if they cannot be offered a pitch.
  • In this circumstance, if a booking fee has been paid it will be refunded.
  • Stallholders may use vehicles to enter Master Park between 9am and 11.30am.
  • Stallholders will be directed to their pitch by a committee member on arrival.
  • Stallholders may use vehicles to remove their stalls after 5pm.

**Please note: We are unable to accept any applications for ice cream trucks.**

Why Sponsor Oxted Carnival 2017?

Are you a local business or organisation that could contribute to helping Oxted Carnival making the most that it can for the local charities it supports? If so, it's possible that by sponsoring Oxted Carnival you would not only be supporting the local charities that benefit from the day, but also be reaching over 21,500 individuals and potential customers of your own.

This year our chosen charity is the Breck Foundation, which was set up by local mother of Breck Bednar, a 14 year old boy who loved technology and online gaming. He was groomed via the internet and murdered on February 17th 2014 by someone he met online. This foundation has been set up in his memory to help other young people enjoy playing online but crucially to be aware of some simple rules to stay safe. Always remember that the friends made online are not like your real friends. Play Virtual/Live Real.

Carnival Program: Since the carnivals inception over 50 years ago, there has been a supporting program that includes information and advertising of local businesses and organisations. Circa 1500 programs are taken to print and distributed across Oxted to the community members and visiting passers-by.

Website and Social Media: In 2014 we launched a new Oxted Carnival website which provides all site visitors with details around the carnival itself. We are also active across Facebook and Twitter, with followers from Oxteds community, as well as visitors from further afield. The sites are constantly being updated with information and while we don't offer advertising space on the website, we do credit our top 3 sponsors on the main page, so your logo could be viewed frequently with every information update.

On the day: Each year the Oxted Carnival attracts on average 2500 visitors (even more when the sun shines) to watch the procession through the streets and enjoy the stalls and entertainment that follow on Master Park. Having your company take part or display its details on site will ensure you're seen as a carnival sponsor and a participating, community business.

Event Volunteer:

Would you like to be an Event Volunteer? Any time you can spare, no matter how small
would be greatly appreciated. Volunteers do not need to commit to the entire time
as they can work in rotation with others. Roles are:

  • Program distribution before the Carnival: Two weekends prior to the Carnival; we are on Oxted High Street and outside Morrisons distributing Carnival
    programs and collecting donations. This starts at 10am and finishes between 2 and 4pm depending on how busy it is.
  • Setting up the Carnival: This includes helping unload the van, set up stalls, marquees, organise stall holders, laying out tables and chairs, preparing the bar.
    This starts at 7am and finishes at 10am.
  • Park entrance control: This includes monitoring and controlling the car par entrance keeping the road access clear for procession vehicles entering and
    leaving the park. This starts at 7am and finishes at 2pm.
  • Carnival procession route marshal:  This requires you to walk the route of the procession or to stand at a junction ahead of the procession to control traffic.
    This starts at 12pm and finishes at 2.15pm (actually procession is 1pm to 2pm).
  • Bar Support: This requires serving alcoholic and non-alcoholic beverages at a mobile bar. This starts at 12pm and finishes at 5pm.
  • BBQ Stall: This includes serving burgers and hotdogs as well as possibly help cook. This starts at 11am and finishes at 5pm.
  • Clearing up at the end of the day: This includes clearing away rubbish and packing away everything that was set up for the event in the morning.
    This starts at 4pm and finishes at 7pm.

Join the committee:

The Oxted Carnival committee is looking for new members.

The committee is made up of a core group of committee members who have arranged the Carnival
over a number of years and newer members who may be part of the committee for a year or two only.

The committee meets once a month (at the pub!) from January until May and then fortnightly
from June until Carnival Day. Meetings are generally held at 8pm on a week night.

There are a huge number of tasks to do in the lead up to the Carnival and tasks are allocated
amongst the committee though the members may take on specific roles like liaising with the schools,
coordinating the procession, coordinating stall holders, treasury, etc.

We are a friendly brunch who simply love putting on the Carnival each year.
